Inviting Your Team

Add your office manager, estimators, dispatchers, or technicians to CustomerFlows so everyone works from the same pipeline and sees the same leads in real-time.

There are no per-seat fees. The seats are included in your plan price. See Plans and Pricing for details.


How to Invite a Team Member

  1. Go to Settings, then Team
  2. Click Invite Member
  3. Enter their email address
  4. Select a role (see role descriptions below)
  5. Click Send Invitation

The team member receives an email with a link to accept the invitation and create their account. The invitation expires after 7 days. You can resend it from the Team settings page if needed.

Owner: The person who created the account. Full access to everything including billing. Only one owner per account.

Manager: Can do everything except manage billing and delete the account. Best for office managers or operations leads.

Member: Can view and work within the pipeline and inbox but cannot change settings, automations, or invite others. Best for estimators, technicians, and dispatchers.

Viewer: Read-only access. Can see the pipeline, deals, and conversations but cannot make changes. Best for business partners or accountants who need visibility without edit access.


Managing Your Team

Changing a Team Member's Role

  1. Go to Settings, then Team
  2. Find the team member in the list
  3. Click the role dropdown next to their name
  4. Select the new role
  5. Changes take effect immediately

Removing a Team Member

  1. Go to Settings, then Team
  2. Click the remove icon next to the team member's name
  3. Confirm removal

The removed user immediately loses access. Their past activity (deal updates, notes, conversation responses) is preserved in the system.

Transferring Ownership

To transfer account ownership to another team member, email support@customerflows.com with the current owner's email and the new owner's email. Both parties must confirm the transfer.


FAQ

What happens if I reach my seat limit? If you're on the Starter plan (1 seat) or Growth plan (5 seats) and try to invite beyond your limit, you'll see a prompt to upgrade. Upgrade to Growth for up to 5 seats, or Scale for unlimited.

Can team members use the mobile app? Yes. All team members access CustomerFlows through the responsive web app on any device. There is no separate mobile app to install. Bookmark the dashboard URL on your phone's home screen for app-like access.

Do team members see all deals or only their assigned deals? All team members with Member role or above see all deals in all pipelines they have access to. There is no per-user deal restriction. This ensures full visibility across your team.

Can I have different permissions per pipeline? Not currently. Permissions are account-wide. Pipeline-specific permissions are on our roadmap.
